This fleet KPIs tracking template includes four reports:

Fleet KPIs Report

Shows key metrics for fleet preventive maintenance, regular safety inspections, insurance renewals, and return of rented vehicles:

• Fleet size, average vehicle age, and number of incidents
• For each vehicle: age, last logged mileage, number of incidents, insurance renewal date, maintenance due mileage, regular safety inspection due date, rented vehicle return date
• Renewal reminders: preventive maintenance, regular safety inspection, insurance policy, end of leasing or renting

Fuel Consumption KPIs Report

Shows key metrics for fleet fuel consumption monitoring and analysis:

• Fuel log
• Fuel total cost, average cost per mile, and average miles per fuel unit: miles per gallon (MPG), miles per litter (MPL), etc.
• Fuel consumption analysis by vehicle, by vehicle type and by fuel station: total cost, average cost per mile, and average miles per fuel unit
• Visual indicators for vehicles, vehicle types, and fuel stations, with fuel kpis above or below the fleet average
• Monthly traveled distance, consumed fuel units, and fuel cost

Fleet Management Cost Analysis Report:

Tracks fleet expenses:

• Total cost of ownership (fuel, maintenance, repairs, insurance, spare parts, etc.)
• Average vehicle cost, and average cost per mile of driving a vehicle
• Expense by type of expense
• Expense by type of vehicle
• Expense by vehicle: total costs, fuel, maintenance, repairs, insurance, spare parts, etc.
• Monthly fleet costs

Driver Schedule and KPIs Report

Shows driver schedule over time, and travel performance KPIs:

• Driver performance: total travelled distance, average travelled distance, and registered accidents
• Driver-Vehicle assignments: Track who was driving a vehicle over what time period, and assigned route
• Driving license renewal date reminders

Using this template is quite easy, you just need to:

• Define your settings
• Enter vehicle, driver, and vehicle-driver assignment data
• Regularly enter fuel log, maintenance log, expenses, and any incident data
